Challenge
Hosting a high-impact international convening for 100 youth leaders from 40+ countries meant navigating extraordinary operational complexity. From international visas to on-the-ground logistics in London and Oxford, the event needed airtight coordination across programming, staffing, safeguarding, and global travel—all while ensuring a transformational experience for attendees and VIP guests.
Action
Kara led end-to-end execution of the convening with a $3M budget. She built and managed all systems, workflows, and playbooks—spanning four core verticals: programming, logistics, operations, and client experience. She hired and led a 60-person part-time staff team, negotiated and executed 70+ vendor contracts, oversaw international speaker and participant travel, and managed cross-functional alignment across all event components. She was also the final escalation point on-site, leading daily scheduling, rapid problem-solving, and staff readiness.
